How to control AI costs in your company: per-team limits, alerts before overspending and cost per run

If the answer to "how much did we spend on AI this month?" is "I don't know", the problem isn't AI, it's the lack of control. Here's how to make token spend predictable without slowing your team down.

How much did your company spend on artificial intelligence this month? In many companies the honest answer is "I don't know". Everyone uses their own account, token costs are scattered across cards and invoices, and the total only becomes clear when the bill arrives, when it's too late to act.

The answer isn't to ban AI. Teams that use AI well deliver faster. The answer is to make spending predictable: know how much each team can spend, see what each task cost and get a warning before you overspend.

1. Centralize usage in one place

While each employee calls AI from a personal account, there's no consolidated view. The first step is to route usage through a single point. In Fiscalizei Agents, Claude Code, Codex and other AI tools are called from the company's desktop app with the admin's default permissions, so each run's consumption is measured at the source.

2. Set a limit per team

A monthly limit per team turns an open-ended cost into a budget. Finance, Tax and Support can have different ceilings based on real usage. The limit isn't a punishment; it's there so nobody gets surprised.

3. Get warned before the bill, not after

A limit without an alert only shows the problem too late. Set a warning at a point of the limit (for example, 80%) so the admin can decide ahead of time: raise the budget, review a skill that's using too much or redistribute usage.

4. Show the cost of every run

When people see what a contract summary or an invoice reconciliation cost, behavior changes by itself. Fiscalizei Agents also estimates the cost before running and flags when an approved skill already exists for that task, avoiding paying twice to solve the same problem.

5. Close the month with a ready-made report

Usage by person, team and skill, with a month-end forecast, becomes a report finance understands. The conversation shifts from "how much did we spend?" to "what is this AI delivering for that cost?".

Control without slowing the team

The goal is freedom with predictability. Teams keep using the best AI tools, and the company knows how much it spends, where and on what. That's what takes AI from pilot to daily operations.

Frequently asked questions

How do I know how much my company spends on AI?
By routing usage through a single point (such as the Fiscalizei Agents app) that measures each run's token consumption by person, team and skill.
How do I avoid surprises on the AI bill?
Set a monthly limit per team and an alert before the ceiling, so the admin can act before month-end.
Does limiting spend hurt productivity?
Not when the limit is per team and cost is visible. Teams keep using AI, and control prevents waste and rework.
